The Administrative Officer provides general administrative and financial support to the Chair, faculty, staff, and students in the Department of Communication. Responsible for placing purchase orders, submitting invoices for payment, making travel arrangements, and processing reimbursements. Oversees planning and implementation of all departmental events, workshops, talks, and conferences. Coordinates faculty recruitment activities. Develops project and event budgets and keeps track of balances and expenses. Responsible for front office reception and serves as a first point of contact for department visitors. Duties include purchasing of office supplies, ordering of textbooks, placing audio-visual requests with OID, conference room scheduling, requesting facilities services, processing mail, and maintenance of copiers. Serves as the department Parking Coordinator, Emergency Coordinator, and manages equipment inventory. Administers special projects for the Department Chair, Manager, and Student Affairs Officers. Performs other duties as assigned.

- UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications
- Skill to organize and prioritize various administrative tasks, meet established deadlines, and work accurately and effectively with a high volume of detailed work in an environment of fluctuating workloads, and frequent interruptions. (Required)
- Demonstrated excellent interpersonal, verbal, and written communication skills to interact effectively and diplomatically with faculty, university administrators, staff, students, and off-campus professionals. (Required)
- Communication skills to accurately convey information and university regulations, policies, and procedures to students, faculty, administrators, and the public. (Required)
- Skill in working independently and following through on assignments with minimal supervision. (Required)
- Interpersonal skills to establish and maintain positive working relationships with faculty, administrators, staff, and students; ability to work as a team player. (Required)
- Skill in dealing with confidential matters with tact and sensitivity. Ability to maintain composure when encountering opposition, insensibility, or hostility. (Required)
- Demonstrated writing skills to prepare concise, logical, effective, and grammatically correct business correspondence and reports. Knowledge of standard English grammar, punctuation, prose style, and correspondence. (Required)
- Strong working knowledge of personal computers and software such as MS Office Suite; WordPress; Google Sheets and Forms. (Required)
- Knowledge of or ability to learn university policies, procedures, and on-line systems such as BruinBuy Plus and Concur. (Preferred)
- Demonstrated skill in event planning. Ability to coordinate the logistics, plan, and implement small to large-scale events. (Required)
- Ability and willingness to move and rearrange tables and chairs, and to work some weekends and evenings when departmental events take place. (Required)
Education, Licenses, Certifications & Personal Affiliations
- Bachelor's Degree Bachelor's degree in related area and/or equivalent experience/training (Required)

Schedule
Monday - Thursday 8:00am to 4:30pm (occasional evenings, and one Sunday in June for Commencement)
