Administrative Assistant

Crozier Fine Arts

We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture. Our Administrative Support Specialists are responsible for liaising between our staff and customers, but also ensuring our customers have access to their fine art pieces and collections. Additionally, the candidate provides general information and coordination with Sales and Project Management within Crozier Fine Arts.

  • Schedule: Monday through Friday, 8:45 AM to 5:15 PM

Responsibilities

  • Greet clients and visitors with a friendly and helpful attitude.
  • Assist clients in finding their way around the office.
  • Announcing clients as necessary.
  • Answer the main Crozier Fine Arts phone line - answering general questions routing calls to the appropriate person/department/facility.
  • Maintain workplace security by issuing, checking, and collecting badges.
  • Maintain visitor logs by verifying ID, checking-in, and checking-out visitors.
  • Provide general administrative support to the operations team, which includes but is not limited to creating, maintaining, uploading, and editing documents, spreadsheets, filing.
  • Respond to requests by the manager and team members for information or assistance in producing estimates for client services within our internal inventory and billing system; manage the credit memo process and rebills
  • Support marketing and events as needed

Qualifications

  • Excellent time management, organization, and ability to complete duties promptly.
  • Administrative support experience in a professional environment preferred, but not necessary
  • Exceptional verbal communication, written communication, and proofreading skills.
  • Keen sense of accuracy and attention to detail.
  • A professional demeanor and the ability to handle matters confidentially.
  • Capability to interface well with all levels of employees in a highly professional and friendly manner.
  • Communicate effectively to clients and coworkers
  • Able to contribute positively as part of a team, helping out with various tasks as required.
  • Desire to be part of a rapidly expanding business.
