Full job description
The Client Service Administrator will be responsible for managing all administrative duties related to onboarding and maintenance of client accounts. The Client Service Administrator will work closely with and support portfolio managers, while adhering to established compliance regulatory policies and procedures.
Primary Responsibilities:
- Prepare new account documents and coordinate the opening and funding of investment accounts. Investment accounts may consist of individual, organization retirement, and/or trust accounts.
- Update and monitor account information. Verify and update account coding, cost basis, and any other client and account information as needed.
- Interact with brokerage service teams to process client transactions, research cost basis, income tax and accounting issues as required.
- Respond to client inquiries on a timely matter; help identify possible issues and provide assistance or a resolution.
- Perform operation or administrative functions for client related requests (i.e., check request, wiring funds, address change and stock gifts.)
- For trust accounts, review trust documents and work with trustees to ensure the trust is properly administered. This would include tasks such as the requirement for income distributions from irrevocable trusts.
- For retirement accounts, review and schedule distributions for account holders at the required minimum distribution age or for account holders who’ve inherited an IRA.
- Interact with attorneys, accountants, and other professionals regarding client accounts.
- Attend prospect and client meetings as needed.
- Provide assistance to portfolio managers and client relationship officers.
- Input documents into electronic filing system.
- Perform Salesforce data entry and updates.
- Work directly with Compliance to ensure fulfillment of proper administration and fiduciary duties on accounts.
- Prepare miscellaneous client reports.
- Provide back-up for miscellaneous administration and other clerical duties as needed.

- 5 years of financial services experience required.
- Proficient with Microsoft Word and Excel.
- Excellent communication skills in various formats (meetings, reporting, emails, phone calls).
- Proven organizational skills within daily tasks, projects, and team management.
- High attention to detail in calculations and presentations.
- Ability to work under pressure with shifting deadlines and priorities.
- Commitment to maintaining confidentiality.
- Self-motivated, disciplined, and a team player with strong ethics and integrity.
