Full Job Description:
The Disney Vacation Coordinator (DVC) will be responsible for providing exceptional service to all members and guests while providing on-site support to sales and marketing managers and members. Responsibilities will include, but not be limited to, reporting, warranty and inventory management, as well as management of sales turnover lines. As frontline cast members, they must reflect the Aulani spirit when welcoming and attending to all guests. Coordinators assist in supporting executives and members on site and returning guests and members, digital membership card assistance, DVC travel scheduling, and advising on hotel offerings and amenities help life. They also carry the primary responsibility of providing the staff with a weekly program of events. The main tasks of the program include registering 300-500 members within 30 minutes, setting up and taking down the registration point, distributing gifts to each family properly, managing the transfer of instructions for large visit of the villa after the show. , and to properly open and close all participants in the company's management process. This job involves working indoors and outdoors in a variety of weather conditions, including extreme heat and humidity.
Functions:
Demonstrate excellent service skills through in-person, phone and email interactions while assisting team members and guests with a wide range of questions and requests.
Greet and extend customer service while working at the Hookah Hideaway front desk and over the phone
Empowered to create recovery and relief options for members, guests and performers
Facilitate registration and workflow of one-week events for 300-500+ members
Know all the offers and amenities of the resort and be able to help with reservations of hotels and activities
Use the Aulani app and/or island map to get accurate directions for maneuvering and island activities
Respond to a high volume of member account inquiries, including scheduling visits to member events
Assist in organizing membership cards ranging from small to large in size
Manage the presentation preparation of all venues, including backroom
Effectively manage and assign service representatives to the Guide inbox as required
Help vendors and vendors enter into relationships within the company's management system
Maintain a daily sales guide listing all interactions for accuracy and goal tracking
Properly open and close all interactions from the on-site location to the model building
Ensures that DVCA adheres to industry guidelines for integrity in all relationships
Generate reports for site managers to monitor sales activity, sales productivity and revenue
Assist site managers with special duties including events, welcome calls, team building, etc. Manage and organize inventory of warrants and company equipment and issue orders as required
Carefully plan promotions to improve sales performance
Must be calm in high pressure situations and know emergency procedures
