QUALIFICATIONS:

Required

  • Bachelor’s Degree in a related field
  • Minimum of one (1) year of experience in the capacity of Operations Supervisor, Assistant, or equivalent in at least 150,000 square feet of the event facility
  • Minimum of one (1) year of supervisory experience in maintaining appropriate operation budget line items

Special Knowledge/Skills

  • Demonstrate knowledge of practices and procedures related to event set-up and conversions; typical methods and techniques for cleaning and maintaining the facility equipment; and proper use and care of hand and power tools
  • Demonstrate ability to carry out tasks in a reliable, productive, and expedient manner and be able to adhere to strict deadlines
  • Possess skills and experience in purchasing procedures and supervising/training personnel. Engage in much decision-making that is generally governed by procedure and guided by policy
  • Understand and work from general instructions, specifications, blueprints, sketches, event documents, and preventive maintenance schedules
  • Maintain an effective working relationship with clients, employees, exhibitors, patrons, and others encountered in the course of employment
  • Follow oral and written instructions and communicate effectively with others in both oral and written form
  • Organize and prioritize work to meet deadlines. Work effectively under pressure and/or stringent schedule and produce accurate results
  • Operate a personal computer using CAD, Windows, Microsoft Office including, Word, Excel, EBMS, Meeting Matrix, Outlook, and other standard office equipment.
  • Work independently, exercising judgment and initiative. Work in a fast-paced environment
  • Remain flexible and adjust to situations as they occur.
  • Work extended and/or irregular hours, including nights, weekdays, and holidays, as needed

Major Responsibilities and Duties

  • Analyzes event service orders and prepares work plans for set-up/tear-down crews.
  • Effectively assists in monitoring inventory control.
  • Effectively supervises the work of set-up and tear-down crews.
  • Safely operates automotive equipment such as vans, forklifts, and hydraulic power lifts in work performance.
  • Provides proper training and instruction for part-time operations staff.
  • Timely response to user needs for setup changes or additional equipment.
  • Effectively communicates problem areas to the Director.
  • Advises of maintenance/repair issues that need to be addressed.
  • Advises custodial and housekeeping issues as needed.
  • Ability to maintain a flexible schedule as driven by events.
  • Directs, supervises, and schedules all aspects of Curtis Culwell Center Operations, including; Utility, Engineering, Janitorial, Landscape, and Changeover.
  • Coordinates the Operations activities with other departments and event-related contractors to ensure facility readiness and smooth operation of events.
  • Implements and updates facility rules, regulations, policies, and procedures.
  • Provides clear, concise, and timely communication of directives to other departments.
  • Ensures that the Operations Department receives pertinent information for the most effective use of the facility and staffing.
  • Assists in preparing the Annual Operating Budget and recommends a capital budget for 1-year and 5-year long-range repairs and improvements to the facility.
  • Authorizes the requisition of equipment and supplies within budget guidelines.
  • Provides a yearly inventory of all equipment.
  • Knows and ensures all laws, codes, ordinances, policies, procedures, Risk Management, safety precautions, rules/regulations, and emergency procedures are followed.
  • Develop a program to train all employees on Fire/Life Safety, Emergency, and OSHA Procedures.
  • Investigate, analyze, and resolve operational problems and complaints.
  • Conducts periodic staff meetings to discuss procedures, problems, and policy changes.
  • Works closely with the Director to prepare and negotiate Service Agreements.
  • Negotiations with vendors, contractors, and service providers.
  • Develops and implements preventive maintenance schedules, emergency procedures, safety, and Risk Management policies in compliance with all company and governmental regulations.
  • Acts as liaison to public utility, environmental, and energy agencies. Assist the Director in the implementation of any energy-saving guidelines.
  • Coordinates and oversees special projects, such as construction, remodeling, or expansion. Plans and directs outside vendors/contractors’ work to ensure compliance with contracts and safety requirements.
  • Ensure the facility’s fire and emergency safety systems are in operating order and compliant with all codes, ordinances, and laws.
  • Seeks professional growth and development.
  • Manages subordinate supervisors in any of the following departments: Utility, Engineering, Janitorial, Landscape, and Changeover.
  • Is responsible for these units' overall direction, coordination, and evaluation.
  • Carries out supervisory responsibilities in accordance with district policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; working in conjunction with Human Resources; addressing complaints and grievances; and resolving problems.
