Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Support Specialist for the Center Advancing Research and Evaluation for Patient-Centered Care (CARE-PC) at the Robert Wood Johnson Medical School.
Under the guidance of the Principal Management Assistant, the Program Support Specialist contributes to the administrative, fiscal, contractual and regulatory activities of CARE-PC’s future and current awards including NIH R01: Adapting and implementing evidence-based breast cancer follow-up; NIH R01: Reducing Urban Cervical Cancer Disparities Using a Tailored mHealth Intervention to Enhance Colposcopy Attendance; NIH R00: Optimizing Colorectal Cancer Screening among Patients with Diabetes in Safety-Net Primary Care Settings: Targeting Implementation Approaches; AHRQ/PCORI P30: Learning Health System Scientist Training And Research in New Jersey (LHS STAR NJ); NCATS UL1: National Institutes of Health, New Jersey Alliance for Clinical and Translational Science (NJ ACTS); as well as activities of the Rutgers Network of Affiliated Family Medicine Residencies (NAFMR) which offers high quality educational programs for medical residents throughout New Jersey.
Among the key duties of this position are the following:
- Under the guidance and direction of leadership and the Program Support Coordinator, provide advanced administrative support, contribute to program development, and evaluate activities for improvement.
- Evaluates ongoing CARE-PC and NAFMR programs and activities periodically to identify improvement opportunities and enhance functionality.
- Research goods/services, submit purchase requisitions, monitor blanket purchase orders, and ensure expenditures align with allocated funds. Oversee database and tracking systems for financial transactions and prepare budget/statistical reports as requested.
- Initiates agreements and contracts with external entities, oversee special arrangements, procedures, and invoices for cost recovery. Negotiate service contracts and review/revise vendor bid specifications as needed.
- Organizes and maintains both paper and digital records, providing information for reports as needed following prescribed guidelines. Execute data collection, analysis, entry, and retrieval using various software packages.
- In collaboration with management, develop and implement standard operating procedures (SOP’s) to streamline administrative processes and assist faculty, staff, and students with maintaining calendars, processing expense reports, honoraria, stipends, and travel arrangements.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System.
