Overview:
The Marketing Project Manager is responsible for the management of various department projects as assigned by the Director of Marketing. This position acts as an internal business partner for company stakeholders. The Project Manager is responsible for ensuring all projects assigned to them run effectively on time and on budget. This position acts as the liaison with stakeholders and project team members, providing communication updates on an appropriate cadence. They will be expected to use project management processes and tools including Airtable to manage projects. Types of projects include mobile fleet decals, interior/exterior signage, open house/ golf tournament assets, swag and collateral for events and TEC “backstock”, reordering of standard TEC collateral, management of in-store digital content platform. The Project Manager will monitor and drive project completeness and accuracy, as well as prepare project status reports as needed.
Responsibilities:
- Utilize TEC’s project management platform (Airtable) to intake, assign, manage and monitor projects.
- Manage projects from start to finish, including managing vendor relationships, invoicing, coding, etc.
- Monitor projects for budget, and deadlines. Lead team and individual check-ins on project status. Included in monitoring – leading team and individual check-ins on project status.
- Track new project requests as needed from requests and prioritize business needs with deliverable request dates. Work with the Director of Marketing on any timeline and resource changes.
- Maintain and manage TruDigital – TEC’s in-store digital communications platform. This includes file upload and maintenance, troubleshooting with locations, interfacing with TruDigital’s customer service, managing new hardware requests, maintaining invoicing/coding, working with Director of Marketing on content ideation and approval, working with and directing designers on content needs, ensuring all units in all locations are in working order and resolving any issues.
- Distribute web leads on a daily basis to the appropriate internal partner.
- Communicate with project team and stakeholders about deadlines, priorities, changing project aspects, etc.
- Identify vendors for project fulfillment and production, including managing file transfers to vendors, soliciting estimates and bids, coordination of production and fulfillment, invoicing.
- Serve as communication liaison for TEC internal stakeholders and vendors for any fabrication/installation/billing coordination and questions.
- Drive all aspects of projects that request reprints of collateral and or swag requests for TEC and all locations. Additionally, maintain, fulfill and ship collateral and swag stock; manage Marketing storage area to be tidy, organized, and in-stock.
- Assist in event preparation, including asset ordering, site build-out, event execution, and tear down. Events may include: multiple locations’ Open Houses, multiple locations’ Golf Tournaments, Thompson Tour, Better Together all-company manager meeting, Parts Manager / Service Manager Summit, etc.
- Pick up project assets from local vendors as needed (company car available with valid driver’s license).
- Assist with maintenance of image database for parts.
- Embody TEC Vision, Mission and Values and empower others to help TEC deliver on its customer commitment. Live TEC Values and TEC Culture as a part of the larger TEC team. Build and maintain a genuine employee passion for all of TEC’s brands and product lines (Volvo, Mack, Meritor, Automann, etc.) as well as the over 35 locations.
- Submit invoicing and coding for managed projects. Review credit card statement on a weekly basis and input coding for Graphics credit card.
- Assist the maintenance and upkeep of server files and organization. Designers are expected to put files in appropriate folders, but Project Manager is responsible for managing and ensuring folder clean-up upon project completion.
- Perform a manual inventory upload every weekday at a consistent time, ideally first thing in the morning.
- Other Duties: Performing any other duties as assigned by management to support the efficient operation of the Marketing Department.
Qualifications:
- Education and/or experience equivalent to a Bachelor’s Degree in Business, Management, or related field. PMP certification preferred.
- Proven experience with managing projects with project management software, proactive communication with team members and key stakeholders. · Proven ability to prioritize projects with minimal oversight.
- Proven experience in a corporate environment and using influence without authority to achieve desired outcomes.
- High level of proficiency using project management tools, Excel, Outlook, and Microsoft Teams.
- Prior experience with a CRM is preferred.
- Part-time hours, with work required 2-4 hours each day. Hybrid work environment. Mondays and Wednesdays are e to be in-office with the rest of Marketing team. Remote work is acceptable outside Monday/Wednesdays. Must be familiar and able to sit at a desk. Must be able to lift 35 pounds.
- Occasional event support with limited hours outside normal hours required (up to 4 times per year) assisting Marketing team executing TEC internal events. Example: Showing up at 6am to set up for a 7:30a Better Together start.
